1. Who we are

This website (prospectmap.co.uk) is operated by Prospectmap Ltd, a company registered in England & Wales under company number 17417841, with registered office at 69 Beaumaris Drive, Gedling, Nottingham, England, NG4 2RA ("ProspectMap", "we", "us").

We are the data controller for the personal data described in this policy. You can contact us at hello@prospectmap.co.uk.

ICO registration: our registration with the UK Information Commissioner's Office is currently in progress. We will publish our registration reference on this page once it is confirmed. In the meantime you can contact us directly using the details above with any data protection query, or the ICO at ico.org.uk.

3. Personal data we process about company officers

ProspectMap's core service assembles publicly available information about UK registered companies, including personal data about directors, PSCs, and other officers — for example names, dates of birth (month/year only), appointment history, and addresses as filed. This data is sourced from public registers: Companies House, HM Land Registry, and The Gazette.

We process this data on the lawful basis of legitimate interests — providing business intelligence from public sources for legitimate commercial due diligence and prospecting purposes. If you are a company officer and want to object to how your data is processed within ProspectMap, contact us using the details in section 1 and we will consider your request. Note that we do not control the underlying public register — removal from Companies House, Land Registry or The Gazette records must be requested from those bodies directly.

4. How we use personal data

  • To create and manage your account and provide the service you've signed up for
  • To process payments and manage subscriptions (via Stripe)
  • To communicate with you about your account, orders, or service changes
  • To understand site usage and improve the product (via Google Analytics)
  • To meet our legal and accounting obligations

5. Lawful basis

We rely on: contract (to provide the account and service you've signed up for), legitimate interests (site analytics, product improvement, and assembling public-register business intelligence as described in section 3), and legal obligation (tax and accounting records).

6. Cookies

We use strictly necessary cookies/local storage to keep you signed in and remember your session. We also use Google Analytics, which sets cookies to help us understand site usage.

We are in the process of rolling out cookie consent controls so analytics cookies only load with your permission. Until that is live, you can block or clear cookies at any time via your browser settings, or use a browser extension/ad-blocker to prevent Google Analytics from loading.

7. Who we share data with

We share data with the following processors, each acting under contract to provide part of the service:

  • Stripe — payment processing
  • Netlify — website hosting, account authentication, and serverless functions
  • Supabase — database hosting
  • Google Analytics — website analytics

We do not sell your personal data.

8. International transfers

Some of our processors (including Stripe and Google) may process data outside the UK, including in the United States. Where this happens, we rely on the relevant safeguards those providers have in place, such as Standard Contractual Clauses, the UK International Data Transfer Addendum, or an equivalent adequacy mechanism.

9. Retention

We keep account data for as long as your account is active, and for a reasonable period afterwards where needed for legal, accounting or dispute-resolution purposes (financial records are typically kept for 6 years as required by UK law). Data sourced from public registers is refreshed periodically and retained for as long as it remains relevant to the service.

10. Your rights

Under UK GDPR you have the right to: access the personal data we hold about you; request correction or erasure; restrict or object to processing; request data portability; and withdraw consent where processing relies on it. To exercise any of these rights, contact us at hello@prospectmap.co.uk. You also have the right to complain to the Information Commissioner's Office if you believe we have not handled your data properly.

11. Security

We use appropriate technical and organisational measures to protect personal data, including encrypted transport (HTTPS), access controls on our systems, and reliance on payment infrastructure (Stripe) that is PCI-DSS compliant so we never handle your raw card details.

12. Children

ProspectMap is a business tool and is not directed at, or intended for use by, children.

13. Changes to this policy

We may update this policy from time to time. We'll update the "last updated" date above when we do. Material changes will be flagged on the site.
